The Manage Events tab of the Scheduling Tool lets the user create or update municipality-wide, user-level, or group events that are either one-time or recurring. This tab is used to schedule any type of event, meeting, or inspector status (sick/vacation). However, it is not for scheduling inspections.
Create an Event
- Sign in to your site
- Select Scheduling Tool in the navigation bar
- The scheduler will open in a new browser tab, click Manage Events
- Enter a Title for the event
- If applicable, select All Day Event to block off the entire day’s calendar for the user(s)
- You can also choose to make the event a Background Event, which will prevent the assigned users from having inspections scheduled at the same time
Note: A background event shows up on the week and day views of the calendar and Gantt chart. Only background events that are also marked as All Day events show up on the month view. The background event may be overridden from within the inspection record if the user forcefully selects a time interval where a background event already exists. Background events would be used for such things as an inspector being out sick or on leave where there would be no option for them to have inspections scheduled at that time. Using regular events would allow other events to overlap. - Select User(s) to add the event to and enter a Location
Note: Selecting a district/department only triggers the users selected in the For Users field. The user may select a combination of multiple departments and other users before saving the event. The event does not remember the department(s) but only the users that were associated with it. - Use the calendar icons to select a Start / End date and time for the meeting
- Choose the Occurrence for the event
- Once on selected date and time: Select to create a one-time event
-
Repeat with frequency: Select to create a recurring event
- Interval Type: Choose to repeat the event Weekly, Monthly, Quarterly, or Yearly
- Interval: Select the day(s) of the week to repeat the event
- Frequency: Decide how often to repeat the event for the selected interval type (For example, the first Friday of every month)
- Add any Notes for the event and click Create to apply the event to all the associated calendars
Update an Event
- Sign in to your site
-
Select Scheduling Tool in the navigation bar
- The scheduler will open in a new browser tab, click Manage Events
- Scroll down to the events list and select the event you wish to update
- Modify event fields, as needed
- Click Update
