Licensing is the only module where you can automatically invoice a portal user and have them pay after they fill out their application.
There are two ways to control invoicing. You can invoice the user application fees, and you can automatically invoice the user application fees and itemized fees.
Turn on Invoicing
- Sign in to your site
- Go to Admin Tools, select Organization Settings, and click Licenses Settings
- Select Yes on the Do you want the system to generate the invoice at time of notification? drop-down
Note: The invoice is only generated when the user submits their renewal. The invoice is not generated with the email. - If you want to also invoice itemized fees, then turn on the Check this checkbox to create license invoices on last step for both applications and renewals
Note: The reason this checkbox is called this is because itemized fees are step 5 and the invoice needs to be generated after the fees are added. - Click Save Settings
Invoicing Application Fees
If you are just invoicing application fees, the invoice and fees are created in Step 3. The user will not be asked to finalize their application. On Step 7, they will only see a Pay Invoice button.
Invoicing Itemized Fees
In Step 5, the user can enter the quantity of each itemized fee they need to pay.
Once they have completed their application, they will be asked to finalize their application. This will generate the invoice with all fees already associated with the record. The user will not be allowed to edit their fees after finalizing their application.
If itemized fee invoicing is on and there are no fees, the user will not see the pay button after they finalize their application.
Paying an Invoice
Once the user clicks pay, they will see their fees and the total balance owed. They can click “Make Payment” and follow the prompts to fill out their credit card details.
